Samusocial in Brussels: building a beneficiary-centred digital ecosystem

Against the backdrop of an ambitious digital transformation, Samusocial in Brussels sought to upgrade its information system in order to better support its work in assisting people living in extreme poverty. The challenge was twofold: to modernise existing tools whilst ensuring operational continuity for teams on the ground.
To meet this challenge, Samusocial opted for an ecosystem architecture, structured around a core beneficiary management platform that had already proven itself in the market. Around this central core, several specific applications were developed by Samusocial’s IT team to address the organisation’s unique business needs.
A foundational architectural choice
Rather than starting from scratch, Samusocial opted for a pragmatic approach:
A robust core application for beneficiary management
Specific business modules developed in-house
An interconnected ecosystem approach enabling evolutivity
This strategy secures critical functions whilst maintaining a high degree of adaptability to on-the-ground realities.
FacOrg supports the entire transformation process by getting involved at an early stage to clarify and objectify architectural choices. Furthermore, through an analysis of requirements, operational constraints and future scenarios, we have supported the teams in defining a coherent, sustainable target aligned with business priorities.
A setup driven by collective intelligence
Beyond the choice of technology, a key factor for success lay in the teams’ adoption of the tools.
FacOrg therefore organised and facilitated a series of business-specific and cross-functional working groups aimed at:
define user requirements in detail
translate real-world practices into the tools
prioritise developments
ensure the overall consistency of the ecosystem
This collaborative approach enabled the settings to be co-defined and strengthened buy-in from future users right from the early stages of the project.
Change management at the heart of the initiative
Recognising that a project of this scale goes far beyond the technical aspects alone, Samusocial also sought to establish a robust change management framework.
FacOrg played a key role in this area by:
defining the change management strategy
structuring the project governance
preparing communication and training plans
ensuring effective feedback loops from the field
supporting teams during the adoption phase
This approach helped to reduce the risk of resistance, anticipate potential friction points and encourage the gradual and sustainable adoption of the new tools.
A solid foundation for future developments
Today, Samusocial has a modular, scalable and user-centred architecture. The choice of a core platform combined with in-house developments gives the organisation the flexibility it needs to continue innovating in pursuit of its social missions.
FacOrg’s added value in this project:
scope definition, alignment and support for architectural decision-making
facilitation of configuration working groups
business–IT alignment
structuring of change management
ensuring successful adoption
This project illustrates FacOrg’s conviction: successful digital transformations are those that skilfully integrate architecture, usage and change management.
